Project supply: material from one source
A plant construction project has a hundred suppliers and one schedule. Every item that comes from another source is another delivery note, another certificate, another phone call. Project supply means: the piping material – flanges, butt-welding fittings, pipes, valves, threaded fittings and the special parts in between – comes from one source, with one contact, according to one plan. We take over procurement, storage, picking and papers; fabrication and installation remain with you.
- Scope
- the complete piping material of a project, special parts to drawing included
- Security
- fixed prices by agreement · schedule and supply security through stock and supplier concentration
- Process
- one contact from the parts list to the documentation · interim storage · call-off by construction phase
- Basis
- information from sales, as of 10/2026 – scope, prices and deadlines per project
What project supply comprises
- One parts list, one contact. We check your parts list for standards, editions, materials and certificate types, report missing parts and inconsistencies and procure everything – from stock what is stocked, from qualified suppliers what is missing, to drawing what is not available off the shelf.
- Fixed prices by agreement. Cost certainty for the project duration, as far as scope and period are defined.
- Interim storage and call-off. We store the project material and deliver by construction phase – the site receives what it installs this week, not everything at once.
- Picking and marking. By construction phase, line or your item number, with packing lists that allow assignment on site without queries. Packaging and marking.
- Documentation. Inspection certificates assigned per line, supplier’s declarations, certificates of origin – certificates and documentation.
- Delivery. With our own fleet and crane to the site, by container or express abroad.

Who this relieves – and of what
Project supply takes work off many departments, not just purchasing. For each role: what falls away, what we do and what we need for it.
Purchasing
- What falls away: Requesting quotes from many suppliers, comparing offers, tracking orders and dates one by one.
- What we do: One complete package for the piping material of the project, customer-specific and drawing parts included – one contact from enquiry to documentation.
- What we need for it: The parts list as it stands and the time frame.
Engineering and planning
- What falls away: Checking every item for standard edition, material, certificate type and standards world, resolving old designations, asking about availability.
- What we do: Before ordering we check the parts list for standard edition, material, certificate type and EN/ASME mix, for marketability and market availability, translate old designations, propose alternatives where needed and report missing items and inconsistencies – before they show up on site.
- What we need for it: Parts list and specification as far as available: standards and editions, materials, certificate types.

Warehouse and goods receipt
- What falls away: Receiving, checking and storing many individual deliveries, later picking and packing them for the site.
- What we do: The goods are consolidated and quality-checked at our site, picked and packed – you receive one goods receipt per delivery instead of many single shipments.
- What we need for it: Delivery address, unloading conditions and time window.
More on this: Packaging and marking
Quality assurance
- What falls away: Checking certificates against order and specification, checking marking and stamps – supplier by supplier.
- What we do: For every item the ordered certificate is there – material, heat and marking match before the goods leave. You check one package, not forty goods receipts. On request we carry out the acceptance together with you at our site before packing. Checking the test values against your specification remains with you.
- What we need for it: The required certificate types and the specification.
More on this: Certificates and documentation · Certificates EN 10204
Documentation
- What falls away: Sorting, assigning and naming certificates from many deliveries and working them into the project documentation.
- What we do: We mark and compile the certificates the way you need them – per line, item or construction phase, following your filing scheme and file naming.
- What we need for it: Your filing scheme: line and item numbers, required naming, language of packing lists and certificate index.
More on this: Certificates and documentation
Project management on site
- What falls away: Coordinating deliveries from many suppliers, assigning material to lines and construction phases, discovering missing items only on site.
- What we do: Every package is marked with construction phase, line and your item number, delivery follows the construction phases, missing items are known before delivery.
- What we need for it: Construction phases, line numbers, schedule, language of the labels, a responsible engineer for queries.
More on this: Packaging and marking
Installation
- What falls away: Searching for material, reordering items, cutting and preparing pipes on site.
- What we do: The material is complete, clearly labelled and, on request, prepared – fixed lengths, threads, roll grooves, bends – so that nobody searches or saws on site.
- What we need for it: Item list and preparation dimensions.
More on this: Processing
Accounting and supplier management
- What falls away: Setting up and rating many creditors, checking many single invoices, obtaining supplier declarations and certificates of origin from each supplier.
- What we do: One supplier: set up once, rated once, invoice per delivery or construction phase by agreement, supplier declarations, certificates of origin and CBAM data from one source.
- What we need for it: Your requirements for invoice and documents, EDI if needed.
More on this: EDI · Certificates and documentation
Site and site management
- What falls away: Keeping storage space for all the material, moving it around, accepting damage and shrinkage, organising unloading.
- What we do: Delivery by construction phase – on site lies what is being installed –, preparation in advance, packaging and marking so that nothing is repacked on site.
- What we need for it: Access, space, unloading conditions and time window.
More on this: Packaging and marking
Maintenance after the project
- What falls away: Identifying spare parts later and sourcing them from changing suppliers in differing makes and face-to-face lengths.
- What we do: With the project documentation and one supplier it is easier to obtain reorders in the same makes and face-to-face lengths for 1:1 replacement – on request via call-off orders, also for the contractors working for you.
- What we need for it: Keep the project documentation, if needed a list of recurring parts.
More on this: C-parts and consignment stock
Export and customs
- What falls away: Packaging by destination country, collecting proofs of origin and supplier declarations from each supplier.
- What we do: Packaging by destination country and transport route – seaworthy or for the truck, crate, ISPM 15, corrosion protection –, packing lists and labels in the languages you specify, plus certificates of origin and supplier declarations from one source. We make the goods ready for collection or take over the transport.
- What we need for it: Destination country, transport route and packaging type (seaworthy or truck), language of packing lists and labels, required documents.

Maintenance management for shutdown and overhaul
- What falls away: Reserving material before the shutdown, sourcing missing items one by one during it.
- What we do: Reservation or project stock before the shutdown, call-off by daily need and express resupply during it, one reachable contact.
- What we need for it: Maintenance plan and parts list of the last overhaul, shutdown date.
More on this: Express and emergency procurement
Shutdown and overhaul: the timeline
An overhaul is a project with a fixed end date and no leeway at the end. That is why our work starts beforehand.
- Before: parts list from the maintenance plan and the experience of the last overhaul; clarify missing parts and old designations (standards comparison, component identifier); define certificate requirements; reserve material or place it in the project warehouse; processing in advance, so nothing is sawn on site.
- During: call-off by daily demand, express for what nobody planned, a reachable contact, resupply from stock.
- After: remaining quantities back into the call-off stock or invoiced, documentation complete, lessons learned fed into the parts list for the next overhaul.
What we do not claim: an overhaul timeline that applies to every plant. We work with your plan – the procedures above are those that have proven themselves in our projects, not a standard product.
What we need from you
Not all of it – what you have. We ask for the rest.
- Parts list as it is
- Specification, if available: standards and editions, materials, certificate types, delivery conditions
- Schedule or construction phases, delivery address, unloading conditions (crane, time window)
- A contact on your side for technical queries

Tendering project supply – what purchasing and project management think of
Whoever you order from: these points belong in the enquiry or order for a project – each one saves a query later.
- Name the standard edition in the order – then it is clear which dimensions, materials and certificates are meant.
- Define the certificate type per item (3.1, 3.2, supplier declaration, certificate of origin), not globally for the project. → Certificates and documentation
- Agree the marking per package: construction phase, line, your own item number. → Packaging and marking
- Specify certificate assignment per item and the filing scheme of the documentation (naming, order). → Certificates and documentation
- Agree delivery by construction phase or call-off plan instead of one total delivery – saves storage space on site.
- Have marketability and market availability of the items checked and allow alternatives – before ordering, not on site.
- Define preparation in advance: fixed lengths, threads, roll grooves, bends, surfaces. → Processing
- Clarify unloading conditions: access, crane, time window, contact on site.
- For export, name destination country, transport route, packaging specification and required documents. → Packaging and marking
- Name contractors and their ordering authority if they are to receive the same material. → C-parts and consignment stock
- Name one contact for technical queries.
- State project name or number, country and responsible engineer – every enquiry carries them, every delivery too.
- Define the packaging type: seaworthy or for the truck – it determines crate, film and corrosion protection. → Packaging and marking
- Specify the language of packing lists and labels – several if site and purchasing sit in different countries. → Packaging and marking
- Name special requirements in advance: partial deliveries per unit or combined, special marking, delivery window.
Frequently asked questions
Who supplies 200 items of piping material complete and on schedule?
Zickwolff assembles the parts list from stock and procurement, packs it project by project and delivers on call - with certificates and marking per item.
From what project size is it worthwhile?
There is no lower limit. What matters is whether you want to hand over procurement, storage and papers – that pays off even for a small overhaul when the date is fixed.
Do you also supply special parts to drawing?
Yes – as part of the package or individually: flanges and fittings to drawing, processed pipes, special materials – what is not in stock is procured or manufactured. Processing.
How is it invoiced?
By agreement – fixed prices for a defined scope and period are common. Prices are not on this page.
Who on our side checks the goods if Zickwolff takes over quality assurance?
You check one package instead of many goods receipts: for every item the ordered certificate is there, material, heat and marking match. On request we carry out the acceptance together with you at our site before packing. Your incoming inspection remains yours – it gets shorter.
Can we get certificates and packing lists in our own scheme and language?
Yes. Give us line and item numbers, the required naming and the languages for packing lists and labels – we mark and compile the documents accordingly.
What happens if an item is no longer common on the market?
That shows up when we check the parts list, not on site. We propose alternatives – same function, available – and you decide.
